    Privacy Policy

    This policy explains what information Online-PDH collects, why we use it, when it may be shared, how long it may be retained, and the choices available to you.

    Privacy in plain language

    Online-PDH uses personal information to operate accounts, deliver courses, document completion, process purchases and refunds, answer support requests, assist with continuing education audits, maintain security, and meet applicable provider obligations. We do not sell personal information for money.

    Who we are and what this policy covers

    Online-PDH is operated by Cadistics, LLC, located in Brevard County, Florida. In this policy, “Online-PDH,” “we,” “us,” and “our” refer to Cadistics, LLC and the Online-PDH.com website. This policy applies to information collected through our website, Moodle-based learning services, purchases, email communications, course evaluations, support, and Audit Assistance.

    This policy does not govern a licensing board, Stripe, a linked website, or another independent organization. Those parties maintain their own privacy practices and notices.

    Information you provide

    Depending on how you use Online-PDH, you may provide:

    • Account information: username, email address, first and last name, password, city or town, country, and security-question information;
    • Professional and licensing information: primary state of licensure, other licensing jurisdictions, and a Florida license number when applicable;
    • Course information: enrollments, course selections, study activity, assessment responses, scores, attempts, completion dates, certificates, and awarded PDH values;
    • Purchase and refund information: purchased credits or plans, transaction identifiers, amount, date, status, limited payment-method details supplied by the processor, and related correspondence;
    • Support and audit information: questions, screenshots, attachments, board notices, certificate requests, feedback, and other information included in communications with us;
    • Newsletter and evaluation information: subscription preferences, survey responses, course reviews, and suggestions; and
    • Organization information: employer or group details supplied for corporate or multi-user purchases.
    Please limit sensitive information.

    Do not email your password, full payment-card number, Social Security number, or unrelated confidential information. If additional information is genuinely required, we will explain what is needed.

    Information collected automatically

    When you visit or use the site, Online-PDH, Moodle, our hosting environment, and service providers may automatically record technical information. This may include IP address, browser and device type, operating system, referring page, requested pages, date and time, login and session events, cookie identifiers, error information, and security or activity logs.

    We use this information to maintain sessions, remember permitted preferences, diagnose problems, understand general site use, prevent abuse, and protect accounts and systems. We do not use course examination activity to create advertising profiles.

    Payment information and Stripe

    Information entered at checkout

    Payment-card and billing information entered on Stripe’s checkout service is collected and processed by Stripe under its own privacy and security practices.

    Information we may receive

    We may receive transaction status, amount, date, customer contact information, payment type, last four digits, expiration information, and identifiers needed for receipts, support, refunds, reconciliation, and fraud prevention.

    Online-PDH does not ask customers to send complete card numbers by email. Although Stripe helps process payments securely, payment security remains a shared responsibility among the customer, merchant, processor, networks, and financial institutions.

    How we use information

    We may use information for the following purposes:

    • Create, confirm, authenticate, maintain, and secure user accounts;
    • Enroll users, display course materials, administer assessments, and track progress;
    • Generate, correct, reproduce, and verify certificates and completion records;
    • Process and reconcile purchases, receipts, refunds, duplicate charges, and plans;
    • Provide customer service, technical support, instructor interaction, and complaint resolution;
    • Respond to Audit Assistance requests and authorized licensing-board inquiries;
    • Meet provider reporting, recordkeeping, tax, accounting, legal, and regulatory obligations;
    • Detect fraud, unpaid certificates, account sharing, misuse, security incidents, and policy violations;
    • Maintain, troubleshoot, analyze, and improve the site, courses, and customer experience;
    • Send transactional, security, policy, course, purchase, refund, and support communications; and
    • Send newsletters or promotional communications when permitted, subject to available unsubscribe choices.

    When information may be disclosed

    We do not sell personal information for money. We may disclose relevant information in these circumstances:

    • Service providers: hosting, Moodle-related technology, payment processing, email, security, backup, analytics when enabled, and other vendors that help operate Online-PDH;
    • Licensing boards and administrators: when reporting is required, when you request or authorize assistance, when a board seeks verification through an appropriate process, or when disclosure is otherwise legally permitted or required;
    • Instructors and support personnel: when reasonably necessary to answer a course question, investigate a problem, verify completion, or provide requested support;
    • Professional advisers: accountants, attorneys, insurers, or consultants when reasonably necessary for legitimate business or legal purposes;
    • Legal and safety matters: to comply with law, court orders, subpoenas, regulatory requests, or lawful process, or to protect rights, safety, property, users, and systems;
    • Business changes: as part of a potential or completed merger, financing, reorganization, sale, or transfer of business assets, subject to appropriate confidentiality and applicable law; and
    • At your direction: when you ask us to send records to a board, employer, auditor, or another recipient.

    We seek to limit a disclosure to information reasonably relevant to its purpose.

    Cookies and similar technologies

    Cookies are small data files placed or read by a website through your browser. Online-PDH and its service providers use cookies or similar technologies needed to operate Moodle sessions, keep users signed in, support account security, remember permitted settings, and maintain site functionality.

    We may also use limited performance or analytics technologies to understand how the site is used and diagnose problems. If advertising or materially different tracking technologies are introduced, this policy and any required consent controls should be updated before that use begins.

    Most browsers allow you to delete or block cookies. Blocking cookies required for authentication or course sessions may prevent login, enrollment, course progress, examinations, or other site features from functioning correctly.

    Email and newsletter choices

    We may email you about account confirmation, password recovery, purchases, refunds, course records, certificates, security, policy changes, and support. These operational messages are part of providing the service and may continue while your account or an unresolved transaction remains active.

    Promotional emails and newsletters should include an available unsubscribe method. You may also ask us at cadistics@yahoo.com to stop promotional email. An opt-out from marketing does not prevent necessary service, legal, security, purchase, or support communications.

    Data retention

    We retain different categories of information for different periods. Factors include the duration of an account or plan, the need to provide replacement certificates and Audit Assistance, licensing-board provider requirements, transaction and tax documentation, dispute periods, security needs, backup cycles, legal obligations, and the establishment or defense of claims.

    Course completion, certificate, assessment, provider-reporting, and transaction records may need to be retained after course access or an account ends. Some information may remain in backups until routine deletion or replacement. When information is no longer reasonably needed, we may delete, de-identify, or aggregate it, subject to applicable requirements.

    Information security

    We use reasonable administrative, technical, and organizational safeguards appropriate to the nature of the information and our operations. These may include HTTPS/TLS transmission, account authentication, access restrictions, software maintenance, backups, service-provider controls, activity logging, and incident response measures.

    No system can promise perfect security.

    Email, internet transmission, software, user devices, and stored data always involve some risk. You can help by using a unique password, protecting your email account, signing out on shared devices, and notifying us of suspected unauthorized access.

    Access, correction, deletion, and other requests

    You can review or update certain account information by signing in to your Moodle profile. You may also email us to request access to, correction of, or deletion of personal information associated with your account, or to ask a question about our use of your information.

    Before acting, we may need to verify your identity and clarify the scope of the request. We may retain information when reasonably necessary for certificates, provider records, transactions, security, legal obligations, disputes, or other permitted purposes. We may also decline or limit a request when permitted by applicable law and will explain the basis when appropriate.

    Depending on where you live and the laws applicable to Online-PDH, you may have additional privacy rights. You may submit a request by email without being discriminated against for exercising an applicable legal right. Authorized-agent requests must include sufficient proof of authority and may require direct verification with the account holder.

    Children’s privacy

    Online-PDH is intended for licensed professionals and other adult learners and is not directed to children under 13. We do not knowingly collect personal information online from a child under 13. If you believe a child under 13 submitted personal information, contact us so we can investigate and take appropriate action.

    Users outside the United States

    Online-PDH is operated from the United States. If you access the site from another country, your information may be transferred to, processed in, and stored in the United States and other locations used by our service providers. Privacy laws in those locations may differ from the laws where you live.

    Our site may link to state licensing boards, NCEES, Stripe, technical references, and other third parties. Online-PDH does not control those websites or their privacy practices. Review the privacy notice of a third-party service before providing information to it.

    Changes to this policy

    We may update this policy as our technology, services, providers, recordkeeping, or legal obligations change. The effective date at the top identifies the current version. When reasonably appropriate, material changes may also be communicated through the website, account, or email. We encourage users to review this page periodically.

    Privacy questions and requests

    Email is preferred because it gives us a written record and time to review the account and request before responding.
