The exact record available may depend on course format, completion date, board requirements, system changes, and whether the record originated with Online-PDH or a payment provider.

Student and Completion Record
- Name and account identifier
- Applicable license or jurisdiction information provided by the student
- Course title, code, PDH value, and delivery format
- Enrollment, assessment, passing status, and completion date
- Certificate information and available replacement copy

Course Compliance File
- Course description, objectives, outline, and study materials
- Educational method and basis for assigned hours
- Assessment method and passing requirements
- Applicable course version and revision information
- Available evaluation summaries and promotional descriptions

Provider and Instructor File
- Provider approval or registration information when applicable
- Instructor or subject-matter-expert name and qualifications
- Available curriculum vitae or professional background
- Course-development and review information
- Board reporting or sponsor documentation when required

Purchase and Status File
- Transaction date, amount, product, and processor identifier
- Receipt or other available proof of purchase
- Plan coverage and expiration information when applicable
- Refund, duplicate-payment, chargeback, or correction status
- Relevant customer and board correspondence
Limits of this policy
Record retention does not guarantee that a board will accept a course, that every historical item can be reproduced in its original format, or that Online-PDH can correct a missed renewal or audit deadline. A board’s current rules and audit instructions control, and the licensee remains responsible for compliance.
